This policy explains how ZuniPixel Technologies collects, uses, and protects your information when you use our platform and website.

Introduction

ZuniPixel Technologies ("ZuniPixel", "we", "our", or "us") operates the ZuniPixel platform — a SaaS product that enables enterprise organisations to migrate workspace data between collaboration platforms, including Microsoft Teams, Slack, and Google Workspace.

This Privacy Policy describes how we collect, use, store, and protect information when you visit our website (www.zunipixel.com), create an account, or use any of our products and services. It applies to all users of the ZuniPixel platform, including IT administrators, business buyers, and end users whose data may be processed as part of a migration job.

By accessing or using the ZuniPixel platform, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with any part of this policy, please discontinue use of our services.

Plain summary: We collect what we need to run ZuniPixel and serve your organisation. We do not sell your data. We do not store your Slack or Teams message content after your migration job is complete.

Information We Collect

We collect information in three ways: information you provide directly, information collected automatically, and information processed on your behalf during migration jobs.

2.1 Information You Provide

  • Account information — name, work email address, company name, and password when you register for a ZuniPixel account.
  • Demo and contact form submissions — name, email, company, team size, and any message you send via our contact or demo booking forms.
  • Billing information — payment details collected and processed by our payment processor. ZuniPixel does not store raw card numbers.
  • Communications — any emails or messages you send to our support or sales teams.

2.2 Information Collected Automatically

  • Usage data — pages visited, features used, session duration, button clicks, and navigation paths within the platform.
  • Device and browser data — IP address, browser type, operating system, and device identifiers.
  • Log data — server logs capturing request timestamps, API calls, and error events for platform stability and security monitoring.

2.3 Migration Job Data

When you run a migration job, ZuniPixel accesses your source and destination platform data (such as channel names, user identities, file metadata, and message content) through the official APIs of those platforms (Microsoft Graph API, Slack API, Google Workspace APIs). This data is:

  • Processed in transit between your source and destination platforms
  • Not stored by ZuniPixel beyond the duration of the active migration job
  • Encrypted in transit using TLS 1.2+ and AES-256

Migration job metadata (job ID, status, timestamps, record counts) is retained for audit purposes. See Section 5 (Data Retention) for details.

How We Use Your Information

We use the information we collect for the following purposes:

  • Providing and operating the platform — account management, migration job execution, dashboard functionality, and customer support.
  • Responding to enquiries and demos — processing demo requests, contact form submissions, and support tickets.
  • Improving the platform — analysing usage patterns to identify bugs, improve UX, and prioritise feature development.
  • Security and fraud prevention — monitoring for suspicious activity, preventing unauthorised access, and maintaining platform integrity.
  • Compliance and legal obligations — maintaining records as required by applicable law and responding to lawful requests from authorities.
  • Marketing communications — sending product updates and newsletters where you have opted in. You may unsubscribe at any time.

We do not use your data for automated decision-making that produces legal or similarly significant effects without human oversight.

Data Sharing & Disclosure

We do not sell, rent, or trade your personal information to third parties. We may share your information in the following limited circumstances:

4.1 Service Providers

We work with trusted third-party service providers who process data on our behalf, including cloud infrastructure providers, payment processors, email delivery services, and analytics tools. These providers are contractually bound to process data only as directed by us and to implement appropriate security measures.

4.2 Business Transfers

If ZuniPixel Technologies undergoes a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or platform notice if your data becomes subject to a materially different privacy policy.

4.3 Legal Requirements

We may disclose your information where required by law, court order, or government regulation, or where we believe disclosure is necessary to protect the rights, property, or safety of ZuniPixel, our users, or the public.

4.4 With Your Consent

We may share your information for any other purpose with your explicit prior consent.

Section 05

Data Retention

We retain different categories of data for different periods depending on their purpose:

  • Account data — retained for the duration of your account plus 30 days after closure, unless a longer period is required by law.
  • Migration job metadata (job IDs, timestamps, record counts, status logs) — retained for 12 months after job completion for audit and compliance purposes.
  • Migration content (messages, files, channel data) — not retained by ZuniPixel. Data moves directly between your platforms and is not stored on our servers beyond the active job window.
  • Usage and analytics data — retained for up to 24 months in aggregated or anonymised form.
  • Communication records (support tickets, demo enquiries) — retained for up to 3 years.

When retention periods expire, we securely delete or anonymise the relevant data.

Section 06

Data Security

ZuniPixel implements industry-standard security controls to protect your information from unauthorised access, disclosure, alteration, or destruction.

  • Encryption in transit — all data transmitted between users, the ZuniPixel platform, and third-party APIs is encrypted using TLS 1.2 or higher.
  • Encryption at rest — stored data is encrypted at rest using AES-256.
  • Access controls — internal access to customer data is limited to authorised personnel on a need-to-know basis and is logged for audit purposes.
  • API-level access only — ZuniPixel accesses source and destination platforms exclusively through official OAuth 2.0 authenticated APIs. We do not request or store platform passwords.
  • Security monitoring — our infrastructure is monitored continuously for anomalous activity, intrusion attempts, and security events.

Cookies & Tracking Technologies

Our website uses cookies and similar tracking technologies to improve your browsing experience and understand how visitors use our site.

Types of Cookies We Use

  • Essential cookies — required for the platform to function (session management, authentication tokens). These cannot be disabled.
  • Analytics cookies — help us understand how pages are used and where visitors come from, so we can improve the platform. These are anonymised where possible.
  • Preference cookies — remember settings you have selected (e.g. language or display preferences).

  • Deletion — request deletion of your personal information, subject to legal retention requirements.

  • Opt-out of marketing — unsubscribe from any marketing communications at any time using the unsubscribe link in any email or by contacting us directly.
  • Object to processing — object to processing of your personal information in certain circumstances.

Section 09

Third-Party Services & Integrations

ZuniPixel integrates with third-party platforms including Microsoft 365, Slack, and Google Workspace. When you connect these platforms to ZuniPixel, you are also subject to the privacy policies of those providers:

ZuniPixel accesses these platforms on your behalf using OAuth 2.0 authentication tokens scoped to the minimum permissions required to complete your migration. We do not access, read, or store data beyond what is necessary for your active migration job.

Our website may also use analytics and infrastructure tools (such as hosting providers and monitoring services). These tools may collect technical usage data subject to their own privacy policies.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:

  • Update the "Last updated" date at the top of this page
  • Notify registered users by email
  • Display a notice within the ZuniPixel platform for a period following the update

Your continued use of the ZuniPixel platform after the effective date of an updated Privacy Policy constitutes your acceptance of the revised terms. We encourage you to review this policy periodically.
